Hostel management

Every room, every student, every hostel fee in one place.

Add your hostels and rooms once. Allot a student to a room and the monthly hostel fee starts on its own from that date, as a separate charge. The warden records payments, prints the receipt, and the office sees who still owes.

What actually goes wrong

Where hostel records usually break

Room registers that never match reality

Each room has a capacity and a live count of beds taken. A full room cannot be allotted, and a student cannot hold two rooms at once.

Hostel fee chased by hand every month

The first charge is made the moment a student is allotted. After that the same day each month, a new charge is raised on its own and the student gets a notification.

Hostel dues mixed up with tuition

Hostel fees are kept as their own charges. A student can be clear on tuition and pending on hostel, and the office sees both without confusion.

Part payments and lost receipts

Record cash, online, cheque or demand draft in parts. Each payment gets its own receipt number, and a wrong entry can be deleted so the balance corrects itself.

How hostel runs from room to receipt

Set up once, then it follows the student.

  • Add hostels and rooms. Create each hostel as boys, girls or co-ed with a warden, then add rooms with floor, type, capacity and monthly fee.
  • Allot a student. Pick the student, pick a room that still has a bed and set the allotment date. The room count updates.
  • Fee is raised automatically. The first monthly charge is created at allotment. Later months are added on the same date each month.
  • Record payment, print receipt. The warden records what the student paid. The charge turns partial or paid, and the receipt can be printed.

Common questions

Asked about hostel

Can we run boys and girls hostels separately?

Yes. Each hostel is set as boys, girls or co-ed, has its own rooms and can have its own warden.

How is the hostel fee charged?

The monthly fee set on the room is charged from the allotment date, then again on the same date every month. Extra charges such as a semester fee or a damage charge can be added by hand.

Is hostel fee part of the tuition invoice?

No. Hostel is billed as its own charge, so a student can be clear on tuition and still pending on hostel.

Can students pay the hostel fee online?

No online gateway is connected. The warden or office records the payment as cash, online, cheque or demand draft, and a receipt is generated.

Does it handle mess, leave passes or visitors?

Not at present. Hostel covers buildings, rooms, allotment, fees, payments and notices.
